Facility Maintenance Management and Equipment Maintenance Management Software

Posted by admin | Business Software | Wednesday 29 April 2009 4:37 pm Edit This

Facilities form the non-core services of a corporation or any organization. Non-core services can include managing administration function, property management, and managing contract services such as cleaning and security. A major portion of the assets of an organization is in the form of infrastructure, like buildings and equipment. Facilities form the non-core services of a corporation or any organization.

Non-core services can include managing administration function, property management, and managing contract services such as cleaning and security. The role of facilities management is to help businesses concentrate in their core competent areas. Facilities management takes on the role of providing routine, non-value-added services which are essential and important for the effective running of an organization.

Facilities management in its widest sense can be applied to any industries. The industries range from public services such as schools, universities and parks, to private services such as manufacturing. Since most of functions of facilities are routine, the role and capacity of IT is precisely suited for that function. Physical assets such as buildings, equipment and IT installations require regular maintenance; therefore, the role of IT in providing maintenance solutions is a major part of the portfolio of ERP providers. Maintenance is a major function of facilities.

The level and scope of functionality varies in the maintenance management system, according to the type of industries and physical assets. The futuristic vision of maintenance management systems is already implemented by some vendors who provide on-demand remote maintenance services, thereby reducing the costs of installing of maintenance systems further.

Enterprise Resource Planning (ERP)

Posted by admin | Business | Friday 24 April 2009 4:34 pm Edit This

The word Enterprise Resource Planning or ERP conveys a sense of planning the use of enterprise-wide resources to achieve enterprise objectives in the best possible manner. However, ERP has come to mean something much less ambitious. It simply means integrating two or more separate applications.

Integration of a number of systems results in:

Creation of a unified database that results in greater reporting capabilities, Elimination of external interfaces between different applications that were needed earlier to exchange information between them, and Standardization and lower maintenance costs as a single system replaces the earlier multiple systems.
Typical modules in modern ERP systems:

ERP System Modules

Manufacturing: This module facilitates manufacturing and related operations such as plant engineering, production scheduling, materials requirements lists, workflow and process management, quality control and cost control. Supply Chain Management: Inventory control and purchasing functions, including supply chain planning, and supplier performance monitoring, are the major functions facilitated by this module. Customer Relationship Management: Sales and Distribution, Commissions and Customer Support are covered by this module.

Financials: This module covers the traditional accounting and cash flow management functions, including accounts receivable, accounts payable, cash flow control, and general ledger. Other typical modules include Human Resources (including payroll), Project Management and Data Warehouse. ERP systems also provide direct interfaces for external entities like customers and suppliers, and internally for employees.

The separation of modules in this manner has resulted in some large organizations selecting different modules from different ERP vendors. Some functionality might be better with one vendor’s module while other vendors’ modules better manage other functionalities.

Implementing ERP in Organizations

Implementing ERP typically involves significant changes in working practices. Either the ERP vendor or a third-party consultant usually helps implement ERP in an organization. New user interfaces and even some processing might have to be coded where the ERP system does not meet certain work practices in the organization. The ERP system should ideally accommodate such customization. Implementation will also involve training to the organization’s personnel to work with the ERP system, and continuing support to keep the system running with minimal additional costs.

Why ERP?

In the absence of ERP, the different applications in use might not be able to exchange information.
ERP and Enterprise Content Management Systems

Enterprise Content Management systems seek to create a knowledgebase consisting of both structured and unstructured content generated all over the enterprise. Enterprise Resource Planning systems facilitate this goal by combining applications and using a common database. The word Enterprise Resource Planning or ERP conveys a sense of planning the use of enterprise-wide resources to achieve enterprise objectives in the best possible manner.

SONAR spy software and Employee Intellectual Property Theft

Posted by admin | Business, Technology | Sunday 19 April 2009 4:28 pm Edit This

In business one of the top priorities is internal security. Through computer use, corporate information can easily be compromised if an organization does not have a proper spy software system in place. By tracking employee activity, a well-developed spy software system allows administrators to have control over all computer activity while preserving the privacy of all internal data. SONAR is a revolutionary security spy software product that helps administrators maintain the integrity of their company by protecting critical information and enforcing internal policies to all network users. This advanced spy software creates a coherent system that functions at the desktop level.

SONAR’s spy software monitors all online activity through a central server that governs assets on or off the company network, including outside contractors and traveling sales people. With SONAR, security solutions are configured in minutes making this spy software one of the most user-friendly on the market. SONAR’s advanced spy software system captures all keystrokes that have been typed into a computer. SONAR takes screenshots of all computer activity, past and present, reads all employee communications, blocks software applications on a scheduled basis, screens all email attachments for sensitive material, and tracks all file use.

SONAR allows compromising material to be blocked and will remotely destroy or locate any recovered data when appropriate. With SONAR’s advanced filtering capabilities you can block websites, filter content, create a white-list of websites allowed, whereby traffic is directed to these sites only, and limit application of use according to your specifications. In addition, SONAR offers spy software functions as an ultimate surveillance tool, providing proof for investigations that may be conducted as a result of inside company fraud.

With SONAR spy software the technology is analyzed internally, allowing the risk of security breaches to be nipped in the bud. Often precious time on the job is wasted by unnecessary web surfing. More than 2/3 of Internet users have confessed in interviews that they have wasted sometimes more than 30% of their job time in non-work-related Internet surfing, whether browsing shopping sites, porn sites, or hobby-related sites. With SONAR spy software this activity is not only monitored but can also be instantly curtailed.

SONAR spy software has the unique ability to identify, track, and control data output, providing a specific protocol for what can be done and what cannot be done with company material. Any application can also be deployed at the discretion of company administrators in a matter of minutes making SONAR one of the most pliable, efficient, and thorough spy software programs on the market today.

Computer theft has also become a commonplace occurrence in the business world. Losing even one computer can compromise the entire security of an organization. Corporate spy software programs are designed to maintain, secrets, safeguard intellectual property and provide security through monitoring all computer activity - both on- and off-site.

Automotive Dealer Management Systems

Posted by admin | Business | Saturday 11 April 2009 4:20 pm Edit This

I’d echo other industry observer’s recent comments about the current obsession with running a hosted DMS solution. It’s imperative for a DMS to have access to web services providing third party data delivery, and indeed using the internet as a transport mechanism for multi-site connectivity is a cost effective solution. The UK communications infrastructure is not mature enough to reliably run a remote web server based application as intensive as a DMS with adequate performance. How many problems do you have with slow Internet connections? We offer the service, but we don’t actively promote it. Keep your DMS server within your business. Most dealers owe it to their potential to review the DMS market. I believe that Gemini Systems Dealer Management Systems should be one of the systems reviewed. However some view change as troublesome and worrying. There is a simple question that needs to be levelled is your dealership achieving what it should if the answer to this is no then a review of your DMS is essential.

I am often asked about what changes are needed to dealerships to gain that competitive edge? What I can say is that without dedicated, trained and motivated staff even the best DMS in the world will fail. People and process are the most important things in any dealership. It helps if your DMS contains all the tools necessary.

Many in the industry now see that tools such as Showroom systems, Customer relationship management (CRM), analytical reporting, Internet marketing and time management systems are essential. These all should be available integrated into the DMS.

Choosing a DMS that suits your business is a bit like choosing a business partner, it needs very careful thought and consideration. The following were listed in the last issue as relevant questions to ask and are still essential today.

• How will it give us a return on investment and over what time?
• Where will it cut costs/enhance efficiency?
• Is it designed to grow with our business?
• Is it capable of operating multi-company, multi site, multi-franchise?
• Will it communicate efficiently with customers on the web, in the call centre and on the dealership floor?
• How good is the CRM part of the system?
• How easy will it be for staff to adapt to the system? What training is required?
• From talking to other users of the system, how good is the suppliers customer support?

Once you have chosen and implemented the DMS that’s where it begins. So many dealers forget that constant training and reviews of process need to be addressed. A decent DMS provider should always be prepared to share their experiences on good working practices. I also think that as business partners the dealer and the DMS provider should document process controls. Simple but effective training training training.

Recommended Business Software Solutions

Posted by admin | Business | Sunday 5 April 2009 4:16 pm Edit This

Make real simple choices:
Use Microsoft Office, Outlook, Publisher, Word, and Excel.
You will use these business software solutions very heavily.

Use a time, billing, and accounting package that provides business software solutions to small business. Get a good contact management package. Use a business software solution like ACT. For basic research use the tools at support.microsoft.com. Don’t reinvent the wheel and try to build these solutions yourself.

The Bottom Line on Business Software Solutions

The best business software solutions for a small business are the ones that come pre-packaged. Remember, you’re not in business to develop business software solutions. You are a consultant who only needs the basics to run your own business. Leave the fancy business software solutions to others and be there to implement or troubleshoot them as required.

Business software solutions come in many shapes and sizes. Choosing the right business software solutions at the start will save you a lot of time. Time you can spend growing and developing your business.

Keep your business software solutions very simple. Many times we’re tempted to think that if we had a magic piece of software, the business would run itself. Computer consulting is not going to run itself regardless of the type of business software solutions you are running. It’s a people business that relies on relationships not software.

There are very good and inexpensive business software solutions on the market that will do 99 percent of what a custom built program will do. Your time is much better spent doing more networking.
